Booking and Event Terms

Our Promise

Planning your celebration should be exciting—not stressful.

These Booking Terms are here to explain what you can expect from NightStyle DJs, and what we ask from you in return. We believe in clear communication, fair expectations, and creating an unforgettable experience from your first conversation with us until the last song of the evening.

Please note: These Booking Terms form part of every NightStyle DJs booking agreement. By confirming your booking, you acknowledge that you have read and accepted these terms.

Booking

Your event date is officially reserved once a signed agreement and the required booking retainer have been received.

The booking retainer is non-refundable, as it reserves your event date exclusively and prevents us from accepting another booking for the same day.

The remaining balance is due no later than 7 days before your event.

If full payment has not been received by that time, NightStyle DJs reserves the right to suspend services until payment has been made in full.

Planning

We'll work with you throughout the planning process to create a timeline, discuss your music preferences, and ensure everything is ready for your celebration.

Whenever possible, we ask that final timelines, music requests, special announcements, and other event details be confirmed at least 7 days before your event.

While we'll always do our best to accommodate last-minute changes, they cannot always be guaranteed.

Changes

We understand that plans sometimes change.

If your venue, ceremony location, event schedule, performance times, guest count, or requested services change after booking, please let us know as soon as possible.

We'll always do our best to accommodate reasonable changes. Depending on the nature of those changes, additional fees or a revised quotation may be required.

Music

Every celebration is unique, and your music should reflect your style.

We'll gladly incorporate your favourite songs, special requests, and your "Do Not Play" list.

Guest requests are welcome unless you've asked us not to accept them or the requested music doesn't suit the atmosphere you've asked us to create.

As experienced DJs, we'll occasionally adjust song order, timing, or music selection to keep the celebration flowing naturally while respecting your preferences.

Announcements

We'll follow the timeline and announcements discussed during the planning process.

Any significant changes or additional announcements should be communicated before the event whenever possible.

Arrival and Setup

We'll arrive with plenty of time to unload, set up, test our equipment, and be fully prepared before your scheduled start time.

To help us provide the best experience, the venue should provide:

  • Safe and reasonable access for loading equipment.

  • A suitable electrical outlet near the performance area.

  • A clean, dry, weather-protected location for our equipment.

Outdoor Events

We're happy to perform outdoors.

For everyone's safety, all DJ equipment must be protected from rain, excessive heat, moisture, and other weather conditions.

If weather conditions become unsafe, we'll work with you and the venue to determine the safest solution.

Venue Delays

Weddings rarely run exactly on schedule—and that's completely normal.

If your timeline is delayed due to the venue, catering, photography, speeches, weather, or other circumstances beyond anyone's control, we'll do our best to adapt and keep everything moving smoothly.

Unless additional time is requested and we're available to stay, our agreed finish time will remain unchanged.

Venue Requirements

The client is responsible for ensuring the venue permits DJ entertainment and amplified music.

Any permits, licences, permissions, or approvals required by the venue or local authorities remain the client's responsibility.

NightStyle DJs cannot be responsible for interruptions caused by venue restrictions or missing permits.

Access & Parking

The client is responsible for ensuring reasonable access to the performance area.

Any parking fees, ferry charges, venue access fees, or similar costs required to perform the event are the responsibility of the client unless otherwise agreed.

Vendor Meal

For events where we're on-site for an extended period, the client agrees to provide one vendor meal for the DJ.

Whenever possible, we appreciate being served during the same time as other vendors so we're ready to continue without interruption.

Overtime

If you'd like the celebration to continue beyond the agreed finish time, we're happy to stay whenever our schedule and the venue permit.

Overtime is billed at our current hourly rate and must be approved by the client or their designated event representative before additional performance time begins.

Overtime is also subject to venue approval and any applicable local noise bylaws.

Cancellation

If you need to cancel your event, please let us know as soon as possible.

The booking retainer is non-refundable.

Any payments made beyond the retainer will be refunded unless planning services have already been provided or expenses have been incurred specifically for your event.

If your event is postponed rather than cancelled, we'll gladly work with you to transfer your booking to a new date, subject to our availability.

Unexpected Circumstances

In the extremely unlikely event that illness, injury, family emergency, or other circumstances beyond our reasonable control prevent your scheduled DJ from performing, NightStyle DJs will make every reasonable effort to provide a qualified and experienced replacement DJ who is acceptable to the client.

If a suitable replacement cannot be arranged, or the client chooses not to accept the proposed replacement, all payments made to NightStyle DJs will be refunded in full.

Equipment

Our equipment is professionally maintained and tested before every event, and backup equipment is carried whenever practical.

In the unlikely event of equipment failure or another unforeseen technical issue beyond our reasonable control, we'll make every reasonable effort to restore service as quickly as possible.

Guests should not handle or interfere with DJ equipment unless invited to do so.

Damage to Equipment

The client is responsible for ensuring guests and vendors respect the DJ's equipment and performance area.

Damage caused by negligence, intentional actions, or misconduct by guests or vendors may result in repair or replacement costs being charged to the client.

Coordination

A successful event depends on good communication between everyone involved.

We'll happily coordinate with your venue, planner, photographer, officiant, caterer, and other vendors throughout the day.

While we'll always do our best to adapt, we can't be responsible for delays or disruptions caused by unavailable participants, schedule changes made without our knowledge, or circumstances beyond our control.

Safe Working Environment

NightStyle DJs is committed to providing a safe and respectful environment for everyone.

If abusive behaviour, violence, illegal activity, unsafe conditions, or actions that place our staff or equipment at risk occur during the event, we reserve the right to pause or end our services immediately.

Photography & Promotional Use

From time to time, we may capture photographs or short video clips of our setup or the atmosphere of an event for use on our website, social media, or other promotional materials.

If you'd prefer that no images from your event be used for promotional purposes, simply let us know before your event and we'll gladly respect your wishes.

Circumstances Beyond Anyone's Control

Neither you nor NightStyle DJs can control everything.

If severe weather, road closures, power failures, venue issues, government restrictions, acts of nature, or other extraordinary circumstances affect your event, we'll work together to find the best possible solution whenever reasonably possible.

Governing Law

These Booking Terms are governed by the laws of the Province of Ontario and the applicable laws of Canada.
