LED Room Uplighting: A Simple Way to Transform Your Event Space

Lighting has an enormous influence on how an event space feels.

A ballroom or reception room can look bright and fairly ordinary during setup. Tables are being finished, staff are moving through the room and the overhead lighting is usually at full brightness. A few hours later, that same space can feel completely different.

The guests have arrived. Dinner is underway. The overhead lights have been lowered. Warm light defines the walls and architectural details, and suddenly the room feels like an event rather than a room waiting for one.

That's what good uplighting can do.

What Is Event Uplighting?

Uplighting uses compact LED fixtures positioned discreetly at floor level around the perimeter of a room. Each fixture projects light upward onto a wall, column or architectural feature, creating another layer of ambient light throughout the space.

The equipment itself isn't meant to attract attention. Once the event is underway, you should notice what the lighting is doing to the room rather than the fixtures creating it.

Depending on the venue, uplights can be positioned along feature walls, behind a head table or stage, around columns, near an entrance or throughout the perimeter of the room.

The fixtures aren't really what you're buying. You're changing how the room feels after dark.

How Does Uplighting Transform a Room?

One of the things you notice after spending years working in event spaces is how dramatically a room changes over the course of an evening.

The room you see during setup isn't necessarily the room your guests experience later that night. Once daylight disappears and the venue's overhead lighting is lowered, the lighting around the perimeter becomes much more important.

Warm amber, champagne or soft neutral light can make a large ballroom feel more intimate. In a rustic venue, uplighting can reveal the texture of wood, stone and architectural details that might otherwise disappear after dark. In a contemporary hotel or event space, it can give depth and dimension to neutral walls.

For a wedding reception, that might mean creating a warm, elegant atmosphere throughout dinner before the room becomes more energetic once dancing begins.

For a corporate event, gala or holiday party, uplighting can transform a familiar ballroom or conference space into something that feels much more like an occasion.

It isn't necessarily about making the room brighter. It's about making the room feel better.

Every Venue Is Different

There is no lighting setup that works equally well in every room.

Ontario event spaces range from intimate waterfront and resort venues in Muskoka and Collingwood to contemporary event spaces in Barrie and large hotel ballrooms in Toronto. Each presents different architecture, wall colours, ceiling heights and existing lighting.

Some rooms look beautiful with uplighting around much of the perimeter. Others may only need several strategically positioned fixtures to highlight a stage, head table, fireplace, entrance or feature wall.

This is one of the reasons I prefer pricing uplighting by the fixture rather than offering fixed packages. The lighting can be designed around what the room actually needs.

What Colour Uplighting Works Best?

There isn't one colour that's right for every event.

For weddings and more elegant occasions, I generally prefer understated colours. Warm white, champagne and soft amber tones tend to complement the natural warmth of a reception without competing with flowers, linens, table settings or other décor.

Corporate events can take a different approach. Uplighting can complement company colours or reinforce the visual identity of an event, while holiday parties and private celebrations can use richer colours when they suit the occasion.

Colour doesn't have to be dramatic to make a difference.

Uplighting and Photography

There is another benefit that isn't always obvious until you see the photographs afterward.

Once overhead lighting is lowered, the backgrounds of event photographs can become quite dark or visually flat. Uplighting introduces colour, dimension and architectural detail into those backgrounds while preserving the atmosphere of the room.

At a wedding, this can be particularly noticeable during speeches, the first dance, parent dances and candid photographs throughout the reception. At corporate events and holiday parties, it can add visual interest behind stages, presentations, awards and guest photographs.

Uplighting isn't a replacement for a photographer's lighting. It's part of the environment they're photographing.

How Many Uplighting Fixtures Do You Need?

The right number depends on the size and architecture of the room, the distance between fixtures and the effect you're trying to create.

A few fixtures may be enough to highlight specific areas. More fixtures can create consistent lighting around a larger portion of the room.

As a general guide:

8 fixtures — $200
A simple way to introduce ambient lighting or highlight key areas of a smaller space.

12 fixtures — $300
A good starting point for many medium-sized reception and event spaces.

16 fixtures — $400
More substantial coverage for larger rooms or when uplighting will play a greater role in the overall atmosphere.

20 fixtures — $500
Suitable for larger spaces where more complete perimeter coverage is desired.

These aren't packages or minimum quantities. They're simply examples. If your room needs ten fixtures, you can use ten.

Simple Pricing: $25 Per Fixture

NightStyle DJs offers LED room uplighting for $25 per fixture.

There are no predetermined lighting packages requiring you to purchase equipment your venue doesn't need. If eight fixtures are appropriate, the cost is $200. If sixteen make sense for the room, the cost is $400.

The number and placement can be determined based on the venue, room layout and the atmosphere you're trying to create.

Does Your Event Space Need Uplighting?

Not necessarily.

Some venues already have excellent architectural and ambient lighting. In those spaces, I may recommend using only a handful of fixtures — or none at all.

Uplighting tends to make the biggest difference in rooms with neutral walls, large open spaces or venues that rely heavily on overhead lighting. Once those overhead lights are lowered, carefully placed uplighting can completely change the character of the space.

That's ultimately what it's for.

You're not adding lighting equipment simply to have more equipment in the room. You're using light to create atmosphere and to make the space feel right once the event is actually underway.
